Hawai'i Vet2Vet Mentor is committed to protecting the privacy of our veterans, mentors, and clinicians. This policy explains what data we collect, how it's used, and the controls you have over your information.
Information We Collect
We collect information you provide directly when you apply as a mentor, mentee, or clinician, including:
- Name, email address, phone number, and branch of service
- Recovery and wellness background relevant to the program
- Worksheet responses and progress journal entries
- Volunteer timesheet data
How We Use Your Information
Your information is used to:
- Match mentors with mentees in the VTC program
- Track recovery progress and volunteer hours
- Provide clinical oversight for flagged submissions
- Communicate important program updates
Who Can Access Your Data
Access is tightly controlled through row-level security:
- You can view and manage your own profile, submissions, and timesheets
- Program administrators can review applications and manage program data
- Clinicians have limited access to submissions flagged for clinical review
- Your data is never sold to third parties
Safety & Crisis Keywords
If a worksheet submission contains language suggesting a mental health crisis, it is automatically flagged for review by program coordinators and clinicians. This ensures timely support for veterans in need.
Data Retention
Your data is retained for the duration of your participation in the VTC program. You may request deletion of your personal data at any time by contacting the program coordinator.
Your Rights
You have the right to:
- Access and review your personal data
- Request corrections to inaccurate information
- Request deletion of your account and associated data
- Withdraw consent for data processing at any time
